Consideration of Approval to Purchase Replacement Audio and Video Systems for Chambers
Staff Recommended Motion
Option 1. Motion to approve the purchase of a replacement audio system from AVI-SPL Inc. for the Commission Chambers in the amount of $19,089.55, using the Capital Asset fund.
Option 2. Motion to approve the purchase of replacement audio and video systems from AVI-SPL Inc. for the Commission Chambers in the amount of $52,994.67, using the Capital Asset fund.
Option 3. Motion to deny purchase of replacement audio and video system for Commission Chambers.
Staff recommends approval of Option 2, motion to approve the purchase of replacement audio and video systems from AVI-SPL Inc. for the Commission Chambers in the amount of $52,994.67, using the Capital Asset fund.
The current Commission Chambers audio and video systems are dated and in need of replacement. Although staff continues to do the best we can with our current systems, our continued use of remote meeting technology, and the variations of meeting scenarios in which we are attempting to use such technology with our current systems, has exposed their limitations.
Staff recommends purchasing the audio video solutions proposed by AVI-SPL Inc. including their ongoing support services in order to improve the overall in-person and remote meeting experience for commissioners, volunteers, staff and citizens.
The equipment proposed for upgrade includes digital signal processing, dais microphones, video presentation, transmission, and projection equipment and replacement dais displays.
The proposed projects will piggyback the following contracts:
Florida Department of Management Services Audio Visual Equipment and Accessories (52161500-ACS-16-1).
Florida Atlantic University Audio Visual Equipment and Services (18S-663)
Omnia Partners Public Sector Audio Visual Goods and Services (2019.001535).
