Consideration of Approval to Add Video Camera Capability to Replacement Audio and Video System for Commission Chambers

Staff recommends approval of AVI-SPL Proposal 345549-2.

Summary

On September 9, 2020 the Commission approved the staff proposal to purchase replacement audio and video systems from AVI-SPL Inc. for the Commission Chambers. We anticipate that this project will be completed in December. The complete cost of the September 9, 2020 proposal has been reimbursed through a CARES Act grant award from the County.

The September 9, 2020 proposal did not include video camera equipment.

At this time staff recommends purchasing the video camera solution proposed by AVI-SPL including their ongoing support services in order to improve the overall remote meeting experience for commissioners, volunteers, staff and citizens.

The equipment in this proposal includes 3 pan, tilt, zoom (PTZ) cameras to be integrated with the switching and distribution systems provided in the earlier proposal, an AV to USB signal convertor and the necessary system programing to allow for control over the new cameras. These cameras will have preset positions that can be triggered via microphone to provide automated operation.

The proposed project will piggyback the Omnia Partners Public Sector Audio Visual Goods and Services (2019.001535) contract.

Fiscal Impact

$38,370.40

Staff will apply for CARES Act funding reimbursement for this expense.
